By using XDEMIA and agreeing to this policy, you consent to our use of cookies in accordance with the terms of this policy. We cannot prevent the copying, use or misuse of such information by others. If you use our services while you are outside the EU, your information may be transferred outside the EU to give you those services. Retaining personal information This Section 6 sets out our data retention policies and procedures, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal information. Personal information that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes. Without prejudice to the other provisions of this Section 6, we will usually delete or disable party’s data falling within the categories set out below at the date/time set out below: any personal (including profile) data may be disabled or deleted after 12 months of no activity or one month after a request is sent by XDEMIA to the user’s registered email address to confirm the status and the user has not confirmed the active status of the account. any space or Institute data may be disabled or deleted after 12 months of no activity within that space or Institute or one month after a request is sent by XDEMIA to the space or Institute owner’s registered email address to confirm the status and the space or Institute owner has not confirmed the active status of the space or Institute. Notwithstanding the other provisions of this Section 6, we will retain documents(including electronic documents) containing personal data: to the extent that we are required to do so by law enforcement; if we believe that the documents may be relevant to any ongoing or prospective legal proceedings; and in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention or forensic investigations). Security of personal information We take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information according to the International Security standard ISO27001. We store all the personal information you provide to us encrypted. All transmission of information over the internet from or to our platform is protected by encryption technology. You are responsible for keeping the password you use for accessing our platform confidential; we will not ask you for your password (except when you log in to our platform). You are responsible for managing access to your profile and spaces or institutes that you are the owner through your settings in our platform. Amendments We may update this policy from time to time by publishing a new version on our platform. We will notify you of changes to this policy by email or through the messaging system on our platform. You might not be able to use all the features on our platform if you do not accept the new changes. You should check this policy to ensure you are happy with any changes to this policy before (continuing) using our platform. Your rights You can execute your rights by contacting us. Providing the rights and freedoms of others are not affected or to the extent permitted or required by European law, our platform gives you the ability: to access, delete and update certain information about you. You can access, delete and update your profile information within the profile settings in XDEMIA You can access, delete and update content in an XDEMIA object (such as Spaces and communicator channels) that you use and contains information about you using the options associated with that object. You can access, delete and update content in an XDEMIA object (such as Spaces and communicator channels) that is owned by someone else and contains information about you by requesting the owner of that specific Object to do so. Note: that we may withhold personal information that you want to delete to the extent permitted or required by European law. to restrict the processing of your personal data. Where processing has been restricted on this basis, we may continue to store your personal data. to object to our processing of your personal data on grounds relating to your particular situation. If you make such an objection, we will cease to process the personal information unless we can demonstrate compelling legitimate grounds for the processing. to obtain your personal data. to object to our processing of your personally identifiable information for marketing purposes. If you make such an objection, we will cease to process your personally identifiable information for this purpose.
